Bowditch & Dewey, LLP is searching for a full-time Legal Administrative Assistant to support attorneys in our Business & Finance practice. This position is based in our Worcester Office. You will have the opportunity to work a hybrid schedule, of 4 days per week in the office, and 1 day per week remotely. This position is critical to the success of the practice.
Essential Duties and Responsibilities
The Legal Administrative Assistant is integral to the functioning of our practice area, exemplary attendance, and punctuality are essential to this job. Primary responsibilities of the Legal Administrative Assistant include (but are not limited to) the following:
- Preparing Documents: Prioritizing work among assignments and meeting specific deadlines on projects; coordinating document preparation, printing, copying, scanning and saving documents as needed
- Maintaining Files: Maintaining paper and electronic client records in compliance with current policies; working with records personnel to create and maintain client files and indexes. Performing routine filing and retrieving files as needed
- Maintaining Calendar: Assisting in coordinating timekeeper calendars, event registrations, expense reports, travel and meeting arrangements
- Processing Mail: Preparing and processing ingoing/outgoing mail, email and faxes, and arranging for specialized mail or messenger services as required; ensuring that all attachments, exhibits and enclosures are included
- Providing Administrative Support: Assisting with new client/matter intake process; scheduling meetings and arranging conference rooms; communicating effectively with clients and with others in the firm; proactively anticipating the business needs of the assigning attorneys, planning, and meeting deadlines; reading and editing documents such as loan agreements, bankruptcy documents, leases and subleases, commitment letters, and business asset sale agreements; reception desk coverage will be expected for short periods of time on an as needed basis
- Oversight: Making sure the attorneys who this position supports are successful from the clients’ viewpoint
- Cooperating with Team Efforts: Working as a team with paralegals who are helping with matters for the attorneys you support; serving as backup to other legal groups as directed; working cooperatively with other departments and individuals in the firm
- Performing other duties specific to the role as assigned
Desired Skills and Experience
- 3 to 5 years of experience providing administrative support; prior experience in a law firm is preferred but not required
- Excellent organizational skills, interpersonal skills, and attention to detail
- Strong computer skills including advanced experience with Microsoft Office (Word, Outlook, Excel, PowerPoint) and Adobe Acrobat; willingness and ability to learn different technologies
- Strong verbal and written communication skills; demonstrated understanding of correct grammar, spelling and punctuation
- Ability to work effectively and proactively within a team environment sometimes under high pressure
- Ability to handle a large workload effectively
- Strong time management skills and the ability to work in a fast-paced environment
- Ability to coordinate multiple tasks concurrently and to meet deadlines
- Initiative, flexibility, resiliency and a willingness to adapt to change
