Legal Records Specialist

We are seeking a highly organized and detail-oriented individual to join our team as a Legal Records Specialist. In this role, you will be responsible for overseeing the management and organization of all physical and electronic records within the firm. The Legal Records Specialist plays a crucial role in ensuring compliance with our records management policies and processes.

Responsibilities

  • Coordinate the retention and disposal of records in accordance with firm policies
  • Establish and maintain filing systems to ensure easy retrieval of documents, both physical and electronic
  • Conduct regular audits to assess the accuracy and completeness of records
  • Collaborate with the IT department to ensure the security and integrity of electronic records
  • Serve as the primary point of contact for internal and external requests for specific legal documents or records
  • Research the location of files and documents upon request from attorneys and staff throughout all offices
  • Assist with the disposition of old or inactive files according to the firm’s policies; support the transfer of client files associated with incoming lateral attorneys
  • Help train firm personnel on records policies and procedures
  • Stay current on industry trends and best practices in records management
  • Manage a professional relationship with current vendor for off-site storage
  • Provide general administrative support and reception desk coverage as needed

Qualifications

  • 1-3 years of records management or related experience in a law firm, legal environment, or professional services industry
  • Strong knowledge of records management principles, practices, and regulations
  • Excellent organizational skills and attention to detail
  • Strong time management skills and the ability to work in a fast-paced environment
  • Ability to work independently
  • Proficiency in document management software and electronic records systems
  • Ability to communicate effectively with individuals at all levels of the organization
