Position Overview
We are seeking a highly organized and detail-oriented individual to join our team as an Information Governance Specialist in our Information Services department. In this role, you will be responsible for overseeing the management and organization of all physical and electronic records within the firm. The Information Governance Specialist plays a crucial role in ensuring compliance with our records management policies and processes. This position resides in our Worcester office.
Responsibilities
- Coordinate the retention and disposal of records in accordance with firm policies
- Support the firm’s incoming and outgoing file transfer process
- Establish and maintain filing systems to ensure easy retrieval of documents, both physical and electronic
- Conduct regular audits to assess the accuracy and completeness of records
- Work to ensure the security and integrity of electronic records
- Serve as the primary point of contact for internal and external requests for specific legal documents or records
- Research the location of files and documents upon request from attorneys and staff throughout all offices
- Assist with the disposition of old or inactive files according to the firm’s policies
- Train firm personnel on records policies and procedures
- Stay current on industry trends and best practices in records management
- Manage a professional relationship with current vendor for off-site storage
Qualifications
- 3-5 years of records management or related experience in a law firm, legal environment, or professional services industry
- Strong knowledge of records management principles, practices, and regulations
- Excellent organizational skills and attention to detail
- Strong time management skills and the ability to work in a fast-paced environment
- Ability to work independently
- Proficiency in document management software and electronic records systems
- Ability to communicate effectively with individuals at all levels of the organization
